Pantry Nexus Terms of Service
Last updated: October 13, 2026
These Terms govern your access to and use of Pantry Nexus, a web application for food pantry operations. By using the Service, you agree to these Terms. If you use the Service for an organization, you confirm that you can accept these Terms for that organization.
1. Definitions
- “Pantry Nexus,” “we,” “us,” or “our” means the provider of the Service.
- “Organization” means the pantry, food bank, community program, or other organization that uses the Service.
- “Authorized User” means a staff member, volunteer, contractor, or other person the Organization permits to use its workspace.
- “Service” means the Pantry Nexus website, application, features, documentation, and support.
- “Customer Content” means information an Organization or Authorized User enters, uploads, or processes through the Service.
- “Subscription” means a paid plan for the Service when Pantry Nexus makes one available.
2. Eligibility and Authority
You must be at least 18 years old or the age of majority where you live. You must provide accurate account information and have authority to act for the Organization if you create or manage its workspace. Pantry Nexus is intended for staff and authorized volunteers, not for direct use by children.
3. The Service
Pantry Nexus provides tools for household intake, QR check-in, queue management, checkout, inventory, volunteer coordination, donor records, activity history, tasks, and operational reporting. Features may change as we maintain and improve the Service. Pantry Nexus is an administrative tool. It does not provide medical, legal, tax, eligibility, benefits, or other professional advice, and it does not make decisions for an Organization.
4. Accounts and Security
- Keep passwords and authentication links confidential.
- Give access only to people who need it for the Organization's work.
- Remove access when a person leaves or no longer needs it.
- Notify support@pantrynexus.com promptly if you suspect unauthorized access.
- You are responsible for activity performed through your account unless it resulted from Pantry Nexus's failure to apply reasonable security controls.
5. Customer Content and Organization Responsibilities
The Organization keeps its rights in Customer Content. The Organization gives Pantry Nexus a limited, non-exclusive license to host, store, transmit, display, back up, and process Customer Content as needed to provide, secure, support, and improve the Service and to comply with law. This license ends when the content is deleted, except for limited copies retained in backups, security records, or legal records.
The Organization is responsible for:
- Collecting and using information lawfully.
- Providing required privacy notices and obtaining required permissions.
- Keeping records accurate and deciding which users may access them.
- Protecting household, minor, dietary, eligibility, and other sensitive information.
- Not entering passwords, payment credentials, Social Security numbers, or unrelated medical records into the Service.
6. Subscriptions, Fees, and Billing
Pantry Nexus may offer paid Subscriptions. If you purchase a Subscription, the checkout page or order confirmation will state the plan, price, billing interval, included features, taxes, and any trial or promotional terms that apply.
- Subscriptions renew automatically for the selected interval until canceled.
- Cancel before the next renewal date to avoid the next charge. Unless the checkout terms say otherwise, access continues through the paid period.
- Fees are generally non-refundable except where the checkout terms or applicable law requires a refund or credit.
- Taxes and government charges may be added where required.
- If a payment fails, we may notify you, limit billing features, or suspend the Subscription after a reasonable opportunity to correct the problem.
- We may change prices or included features with notice. A price change normally applies at the next renewal, unless the law or checkout terms require a different process.
- Third-party billing and payment providers process payment credentials under their own terms and privacy notices. Pantry Nexus may change providers.
Contact support@pantrynexus.com promptly about a billing error. A chargeback does not cancel a payment obligation for valid charges and may result in suspension while the dispute is reviewed.
7. Acceptable Use
You may not:
- Use the Service unlawfully or to violate another person's rights.
- Access another Organization's workspace or records without permission.
- Attempt to bypass authentication, organization permissions, rate limits, or security controls.
- Upload malware or content that could harm the Service or another user.
- Scrape, reverse engineer, copy, resell, frame, or substantially reproduce the Service.
- Use the Service to store information unrelated to the Organization's legitimate operations.
8. Pantry Nexus Intellectual Property and Brand
Pantry Nexus and its licensors own the Service, including its software, source code, design, interface, documentation, text, illustrations, wordmark, Rooster icon, logos, and other brand assets. These Terms grant you a limited right to use the Service while your account or Subscription is active. They do not transfer ownership or grant a license to Pantry Nexus intellectual property beyond that limited use.
You may not use the Pantry Nexus name, wordmark, Rooster icon, logos, or other marks in a way that suggests sponsorship, endorsement, partnership, or ownership without written permission. You may not remove proprietary notices or use our marks in a domain name, product name, advertising campaign, or modified logo without permission.
If you believe material available through the Service infringes your copyright, send a description of the work, the material, your contact information, and a good-faith statement to legal@pantrynexus.com. We may restrict or remove access to material when appropriate. This contact does not represent that Pantry Nexus has registered a designated copyright agent.
9. Feedback
If you send suggestions or feedback, you allow Pantry Nexus to use it without restriction or payment. Do not include confidential household, financial, or security information in feedback.
10. Third-Party Services
The Service relies on third-party infrastructure and may link to third-party services. Those services are governed by their own terms and privacy notices. Pantry Nexus is not responsible for a third party's independent acts or availability, but we will address service issues within our control.
11. Availability and Disclaimers
We work to keep the Service available, but maintenance, outages, security events, internet failures, and events outside our control may interrupt it. The Service is provided as available and to the extent permitted by law, without warranties that it will be uninterrupted, error-free, or suitable for every purpose. Organizations must keep their own records and make decisions based on their policies and applicable law.
Nothing in these Terms limits a right or remedy that applicable law does not allow us to limit. To the extent permitted by law, Pantry Nexus will not be responsible for indirect, incidental, special, consequential, exemplary, or punitive damages arising from use of the Service.
12. Suspension, Termination, and Data
We may suspend or limit access when necessary to address security threats, unlawful activity, misuse, nonpayment, or a legal requirement. We will provide notice when reasonable and safe. An Organization may stop using the Service at any time. Before closing an account, the Organization should export records it needs.
After termination, access ends and Customer Content is handled under the Privacy Policy and any applicable Subscription or order terms. Sections about payment obligations, intellectual property, acceptable use, disclaimers, limitations, and disputes continue where their purpose requires it.
13. Changes to These Terms
We may update these Terms when the Service, billing practices, or legal requirements change. We will update the date above and provide additional notice for material changes when required. Using the Service after the updated Terms take effect means you accept them. If you do not accept a change, stop using the Service and cancel any active Subscription before the next renewal.
